Privacy Policy

ASB Scheduler is the schedule, attendance and communication app of Akanksha Singh Basketball (ASB), run by Singh Sports Foundation (“we”). This policy explains what personal data we keep about players, parents, coaches and staff, why, and the choices you have. We follow India's Digital Personal Data Protection Act, 2023 (DPDP Act). For this data, ASB is the Data Fiduciary.

Whose data, and what

• Players: name, date of birth, gender, school and year, the groups and teams they are in, their training schedule, attendance, and development notes from coaches. Where a family gives them: emergency contact, medical or injury notes, and consents (for example for photos or travel).
• Parents and guardians: name, relationship to the player, phone number and email.
• Coaches and staff: name, work or personal email used to sign in, phone number, the sessions they run, days off, and a record of changes they make in the app.
• From the academy's records: when ASB joined this app, student details were copied from our existing enrolment system (Classcard) and roster sheets.

We don't collect payment card details, precise location, or anything from your phone other than what you type in.

Why we use it

• To plan training and tell each player, parent and coach their schedule, including changes.
• To take attendance and see how players are progressing.
• To keep players safe: emergency contacts and medical notes are for coaches on duty.
• To run the academy: enrolment, groups, coach rosters and hours, and records we must keep by law.

We don't sell personal data, show advertising, or use it for any purpose unrelated to ASB's training programmes.

Children

Many of our players are under 18. Under the DPDP Act we process a child's data with the consent of a parent or lawful guardian, given when the family enrols with ASB and confirmed on the details form. We do not track children's behaviour for advertising, show them targeted ads, or profile them for anything other than their training. Players see only their own schedule; no player can see another player's contact details.

Who can see it

• ASB coaches and staff, signed in with their own account, to the extent their role needs.
• Families, through a private link to their own child's schedule. Anyone who has the link can open that schedule, so please keep it private. If a link is shared by mistake, ask us to replace it and the old one stops working.
• Service providers who run the app for us, only to provide their service: our hosting provider (Railway), Google (sign-in for staff, and email delivery), and our student-management provider (Classcard). They may store data outside India, under their own security and privacy commitments.
• Authorities, only where the law requires it.

Emails and messages

We email schedules, schedule changes and a few academy notices (for example the welcome email and the details form). These are part of the service, not marketing. If you would rather not receive them, tell us and we'll switch them off for you.

Cookies

Coaches and staff who sign in get one cookie that keeps them signed in. Families don't need to sign in. We don't use analytics or advertising cookies.

How long we keep it

We keep a player's record while they train with ASB and for up to three years after they leave, so returning players and certificates can be handled. After that we delete it or remove anything that identifies them, unless the law requires us to keep a record (for example for accounts). You can ask us to delete data sooner (see below).

Security

The app is only served over encrypted connections (HTTPS). Staff pages need a sign-in, access depends on the person's role, and changes are logged. Medical notes are visible only to ASB coaches and staff. No system is perfectly secure; if a breach affected your data we would tell you and the Data Protection Board as the DPDP Act requires.

Your rights

Under the DPDP Act you (or, for a child, their parent or guardian) can:

• ask what personal data we hold and who we have shared it with;
• have it corrected, completed or updated;
• ask us to delete it, or withdraw consent (this may mean we can no longer schedule training for the player);
• nominate someone to act for you if you are unable to;
• raise a grievance with us, and then, if not resolved, with the Data Protection Board of India.

Changes

If we change this policy we'll update this page and its date, and tell families by email if the change is significant.
